Freelance Invoice Template UAE: VAT-Ready Guide for 2026

By Swishr Desk Team May 12, 2026 4 min readUAE Business

Freelancing in the UAE comes with one wrinkle most other markets don't have at the same scale: 5% VAT and FTA-specific invoice requirements. Get the invoice structure right and you stay compliant and look professional. Get it wrong and you end up with rejected invoices, delayed payments, or worse — VAT penalties at year-end.

Here's the complete VAT-ready freelance invoice template for the UAE in 2026, what the FTA requires on every tax invoice, and how to handle the small but critical edge cases (zero-rated services, out-of-scope clients, sole-trader vs LLC).

UAE Invoice Legal Requirements

The UAE Federal Tax Authority (FTA) requires every tax invoice to include:

  • The words "Tax Invoice" clearly on the document
  • Your name, address and Tax Registration Number (TRN) if VAT-registered
  • The recipient's name, address and TRN if they're VAT-registered
  • A unique sequential invoice number
  • The date of issue
  • The date of supply if different
  • Description and quantity of goods/services
  • Unit price excluding VAT, in AED
  • The discount applied if any
  • The applicable VAT rate per line
  • The total VAT amount in AED
  • The total amount payable in AED

What is 5% VAT and When to Charge It

The UAE applies a standard 5% VAT on most goods and services. You must register and start charging VAT once your taxable turnover crosses AED 375,000 per year. Voluntary registration is allowed from AED 187,500.

Until you cross the threshold, do not add VAT to your invoices. Your invoices are then simply "invoices" (not "tax invoices") and you have no VAT-reporting obligation.

Some services are zero-rated (exported services to clients outside the UAE for example) — you still mention them on the invoice but apply a 0% rate.

How to Calculate VAT on Your Invoice

  • VAT amount = subtotal × 0.05
  • Total payable = subtotal + VAT amount
  • VAT per line: always show the line subtotal exclusive of VAT, then VAT separately. Tools like Swishr Desk calculate this automatically.

Common UAE Invoice Mistakes

  • Missing the words "Tax Invoice" on the document
  • Forgetting the supplier's TRN
  • Charging VAT before VAT registration is complete
  • Inconsistent invoice numbering (gaps or duplicates)
  • Not stating the VAT rate per line (especially when mixing standard and zero-rated)
  • Foreign currency without an AED equivalent (FTA requires AED)

How to Get Paid Faster in the UAE

  • Always include payment instructions on the invoice. Bank IBAN, or a Stripe/payment link.
  • Send same-day delivery, before the relationship cools.
  • Net 14 outperforms Net 30 for sole traders. Don't default to corporate terms if you don't have to.
  • Automate reminders. Tools that send polite nudges at day 1, 7 and 14 reduce average days-to-pay by 30-50%.

Frequently Asked Questions

Do I need to charge VAT on every UAE invoice?

Only if your taxable turnover has crossed AED 375,000 (mandatory) or you've voluntarily registered. Below that, do not charge VAT.

What is the UAE VAT rate?

Standard rate is 5%. Some categories are zero-rated (international transport, certain exports). A small number of categories are exempt (residential rent, certain financial services).

What format must a UAE tax invoice be in?

Until July 2026 PDF/structured PDF is fine. Once you're in scope for e-invoicing, the invoice must be a PINT AE XML transmitted via an FTA-accredited service provider. See our full e-invoicing guide.

Can a freelancer issue invoices without a trade licence in the UAE?

Generally no — you need a trade licence or freelance permit to legally invoice for services. The freelance permit (from various free zones) is the most common path for individuals.

How long must I keep UAE invoices?

Five years from the end of the relevant tax period. Real-estate-related records must be kept for 15 years.
